A complete request for quotation gets you a firm price and delivery date faster, and makes bids from different suppliers easy to compare. These are the items to include.

Drawings and models

Send drawings in DXF, DWG, STEP or PDF with the revision level shown. Flag critical dimensions and use GD&T where features must relate to each other. If only a sample exists, say so; the supplier can reverse-engineer it.

Material

State the grade and thickness, for example CSA G40.21 350W, ASTM A36, SA-516 Grade 70, 304L or 5052-H32, and whether substitutions are allowed.

Tolerances

Unless stated, general tolerances such as ISO 2768 will apply. Tighter tolerances add cost, so apply them only where they matter.

Codes and standards

Name the design, welding and testing standards that apply, such as CSA W59 or AWS D1.1 for welding, ASME Section VIII for pressure vessels, or the utility's own specification.

Finish

Specify surface preparation, the paint or powder-coating system and colour, or the galvanizing standard (ASTM A123 or CSA G164).

Inspection and documents

List the tests, hold points and documents you need: mill certificates, weld procedures, NDT reports, dimensional reports and a final data book.

Quantities and delivery

Give the order quantity, release schedule and annual volume, the delivery address, required date and preferred Incoterms.

Commercial details

Include your RFQ number, closing date and terms. Then send it to us; our supplier information page has the details procurement teams usually ask for.
